Personal data in the context of the application process

Personal data is information about the personal or factual circumstances of an identified or identifiable natural person. This includes information such as your name, address, telephone number and date of birth, but also data about your specific career, etc., which can be assigned to a specific person with reasonable effort. Information that is not (un)indirectly associated with your real identity, on the other hand, is not personal data.

Principles and purposes for processing personal data for applications and in the application process If you apply to us electronically, i.e. by e-mail or via our web form, we will collect and process your personal data for the purpose of processing the application procedure and carrying out pre-contractual measures. By submitting an application on our recruiting page, you express your interest in taking up employment with us. In this context, you provide us with personal data that we use and store exclusively for the purpose of your job search/application.

In particular, the following data is collected:

  • Telephone number

If applicable, further data from publicly accessible sources, e.g. career networks Channel that made you aware of us You also have the option of uploading meaningful documents such as a cover letter, your resume and references. These may contain further personal data such as date of birth, address, etc. Only authorized employees from the HR department or employees involved in the application process have access to your data.
Personal data is stored exclusively for the purpose of filling the vacant position for which you have applied.

Your data will be stored for a period of six months beyond the end of the application process. As a rule, this is done to fulfill legal obligations or to defend against any claims arising from legal regulations. Subsequently, we are obliged to delete or anonymize your data. In this case, the data is only available to us without direct personal reference for statistical evaluations (for example, proportion of women or men in applications, number of applications per period, etc.).

In addition, you have the voluntary option for us to store your data for inclusion in our "Talent Pool" for a maximum of 24 months after the end of the application process in order to identify any other interesting positions for you. This also applies, for example, to applications for apprenticeships or internships. This only takes place with your consent, which you can revoke at any time. If you receive an offer of employment with us as part of the application process and accept it, we store the personal data collected as part of the application process for at least the duration of the employment relationship.

You also have the option of activating the "Remind me" function if you would like us to alert you to new job postings. We use the so-called double-opt-in procedure for registration. This means that after you have registered, we will send you an e-mail to the e-mail address you have provided, in which we ask you to confirm that you are the owner of the e-mail address you have provided and that you wish to receive the notifications. After your confirmation, we store your e-mail address for the purpose of sending you new job postings. You can revoke your consent at any time.

Disclosure of data to third parties

The data transmitted as part of your application is transferred via TLS encryption and stored in a database. This database is operated by MHM HR GmbH, which offers personnel administration and applicant management software (https://www.mhm-hr.com/datenschutzerklaerung). MHM HR GmbH is our data processor in this context according to Article 28 GDPR. The basis for the processing here is a data processing contract between us as the controller and MHM HR GmbH.

Data subject rights

If personal data is processed by us as the controller, you as the data subject have, depending on the legal basis and purpose of the processing, certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), in particular, if applicable, the right to information (Article 15 GDPR), right to rectification (Article 16 GDPR), right to erasure (Article 17 GDPR), right to restriction of processing (Article 18 GDPR), right to data portability (Article 20 GDPR), right to object (Article 21 GDPR). If the processing of personal data is based on your consent, you have the right to revoke this data protection consent in accordance with Article 7 III GDPR.
